Position Title: Receptionist / Administrative Support
Department: Administration
Reports To:  President (and/or Office Manager)
Status: Non-Exempt / Full Time
Salary Range: $12.00 – $15 per hour DOE

Position Summary:

Enjoy helping and talking to people on the phone and in person… both clients and teammates in the office. You are comfortable working on a computer all day and are detailed oriented as well, so you are computer literate. You desire to be part of a team and want to be part of the solution and not the problem. 

Job Functions:

  • Welcome face of the Agency to people that call on the phone and walk in the front door.
  • Establish working relationships with clients, potential clients and companies we represent on the phone, email and on paper.
  • Answer multi-line phone system and distribute calls to team accordingly.
  • Supporting teammates with follow up for clients and prospects.
  • Promptly respond to client needs either on the phone or electronically. 
  • Maintain client files and process routine correspondence between our agency and the client or company… both paper records and on our many different software programs.
  • Retrieve, open and distribute mail accordingly.
  • Process main email inbox and deliver to appropriate team member.
  • Process all out-going mail.
  • Input Claims into agency management system.
  • Process web downloads.
  • Maintain cleanliness, organization and restocking coffee supplies of office lobby.
  • Keep on-going inventory office supplies and order new supplies as needed.

Additional Duties:

  • Assist with other office duties as they arise and are needed

Requirements & Skills:

  • Friendly voice and pleasant tone over the phone and in person.
  • Excellent communication skills both verbal and written.
  • Has appropriate business attire.
  • Proficient with Microsoft Word, Excel, and Outlook.
  • Type quickly and accurately. 
  • Organized, structured, punctual and will follow the rules.
  • Familiar with multi-line phone system and how to use one.
  • Patient, respectful, reliable, trustworthy, friendly, supportive, articulate, kind, ethical and honest.

Education:

High school diploma

Experience:

  • 2 years in professional business office
  • No previous insurance experience is required. We will train and educate the successful candidate. However, having previous experience working within the insurance industry is a bonus.

We are a team of people helping people. Our independent insurance business is based on the relationships we build within our Team, our clients, potential clients, our community and the companies we work with. As an independent insurance agency, we work for our clients, not one insurance company. 

Our hours are Monday thru Friday from 9:00 – 5:00 and we will provide training. You may be asked to work occasionally during an evening or Saturday to support local and community events.

Job Responsibilities:

  • Establish working relationships with clients, potential clients and companies we represent on the phone, email and on paper.
  • Supporting teammates with follow up for clients and prospects.
  • Research and resolve coverage questions.
  • Promptly respond to client needs either on the phone or electronically. 
  • Maintain client files and process routine correspondence between our agency and the client or company… both paper records and on our many different  software programs
  • Cultivate new opportunities and offer additional lines of insurance through consultative selling
  • Assist with other office duties as they arise and are needed

Professional and Personal Skills: 

  • Proficient with Microsoft Word, Excel, Outlook and a calculator
  • Type quickly and accurately 
  • Excellent communication skills both verbal and written
  • Organized, structured, punctual and will follow the rules 
  • Patient, respectful, reliable, trustworthy, friendly, supportive, articulate, kind, ethical and honest

Wages and Compensation:

  • We offer competitive wages between $12 – $20 depending on experience and if you already have a license, bonuses for performance and other benefits are available as well.

Experience Requirements:

  • No previous insurance experience is required. We will train and educate the successful candidate. However, having previous experience working within the insurance industry is a bonus.

  • Establish new relationships with potential clients and sign them up for insurance.
  • Cold calling over the phone and knocking on doors to offer and sell insurance.
  • Networking at the local Chamber mixers and other professional organizations/associations.
  • Once a product is sold, you will need to fill out appropriate forms and input into the software system. 
  • Cultivate relationships and cross sell additional lines of insurance.

Professional and Personal Skills: 

  • Excellent communication skills both verbal and written.
  • Articulate and professional voice in person and on the phone.
  • Professional wardrobe.
  • Self-starter, driven, can manage rejection well.
  • Confident, energetic, enthusiastic with a sense of humor.
  • Proficient with Microsoft Word and Outlook.
  • Familiar with sales software and if you know how to use Infusionsoft is a plus.
  • Patient, respectful, reliable, trustworthy, friendly, supportive, articulate, kind, ethical and honest.

Experience and Job Requirements:

  • MUST have one-year sales experience in the insurance industry.
  • MUST have current and valid P&C Insurance License.
